2023 Meeting Minutes

SYRACUSE PHA MEETING – December 11, 2023

 There was a Syracuse PHA meeting on Monday December 11, 2023.    Present at the meeting was Margie Heberle, Debbie Lorge, Debbie Barmaster, Anne Wernert, Sue Mauro, Liz Pinto, Gail Lehman, Shelly Shaulinski, Mark Frohm, Heather Heberle, Clare Affleck, Courtney Fennell, Sarah Donahue, Rosie LaBarge, Chris LaBarge, Jaime Bates, Becky Bates, Kerry Kocher (via phone).

 

Secretary's Report :

A motion was made to accept the Secretary’s report dated March 2016.  The motion was made by Debbie Barmaster; seconded by Margie and carried.

 

Treasurer's Report :

A copy is on file with the secretary. Chris made a motion to accept the report.  Gail seconded.  All are in favor.

 

Membership Report :

Courtney Fennell was voted in as a new professional member. Gail made a motion to accept.  Anne seconded.  All are in favor. 

 

Rules Report :

We will change the wording of the childrens – adult jumper to junior and amateur jumpers to stay in line with USEF. 

We will add the 2', 2'3”, and 2'6” USHJA hunter to the PHA year end awards.

 

High Point Report :

The 2023 banquet will be January 6 at the Woodcliff Hotel and Spa.  Invitations / sponsor letters will be mailed shortly.

 

Election Report :

Sarah Donahue, Heather Heberle, Therese Bouchard and Chris LaBarge were re-elected. 

Claire Afflack and Margie Heberle were added as associate directors.  They will officially be added to the 2024 ballot.  Chris made a motion to put the other 2 professionals into the officers election in 2024.  Becky seconded.  All are in favor.

 

Scholarship Report :

Nothing to report.

There are junior scholarships available thru the National PHA

 

Grievance Report :

Nothing to report

 

Show Date Report :

All dates are listed on the web site.

 

PHA Show :

We will start at 4pm on Tuesday.  The schedule has been reworked with additional classes to encourage more entries. 

Claire Afflack will again help with the Hospitality room but would like to have additional sponsors.  Please contact her if you're interested.

Sarah Barge and Sarah Donahue will again head the sponsor committee. 

We will give coolers for Champion prizes and saddle pads for reserve.  Liz has been asked to order 1st place awards.

We will start at 7:30 Sunday for get-away day. 

Exhibitor gift bags will also be handed out in the office.  Businesses are encouraged to donated something to put in it – please get your customers involved!  It can be anything from a coupon for something to ?????

 

Old Business :

Heather Heberle and Karen Caton are still working on out tax exempt status. 

 

  

The next meeting will be Monday March 18 , 2024 at 11:00 at the Hampton Inn in Victor.

There was a Syracuse PHA meeting on Monday, September 11, 2023    Present at the meeting was Mark Frohm, Terese Bouchard, Anne Wernert, Liz Pinto, Gail Miller, Heather Heberle, Margie Heberle, Sue Mauro, Shelly Shaulinski, Chris LaBarge, Rosie LaBarge, Sarah Donahue, Debbie Barmaster, Debbie Lorge, Becy Bates, Jaime Bates,

 

Secretary's Report :

A motion was made to accept the Secretary’s report dated June 2023.  The motion was made by Gail ;seconded by Terese and carried.

 

Treasurer's Report :

A copy is on file with the secretary.  Anne made a motion to accept the report.  Seconded by Sue and carried.  We passed along an Aid to Member to one of our professional members.

 

Membership Report :

Emma VanDyne was voted in as a new professional member.

 

High Point Report :

Banquet will be January 6.  $60 per ticket.  It will be held at  Woodcliff in Victor NY

 

Election Report :

Claire Afflack, Chris LaBarge, Margie Heberle have expressed interest in being a director.

 

Rules Report :

If there are less than 3 that complete, ½ points will be awarded in non usef rated divisions.

On June 15 any uncombined divisions with less than 3 nominated with points will be combined for year end awards.

Mark made a motion to raise the nomination fees to $25 for hunters $30 for the medals.  All are in favor.

 

We will add a USHJA 2'9” Hunter

We will change the Low Hunters to the USHJA 3' hunters

 

Old Business

Karen Caton will help with our tax exempt status.  (Fingers crossed)

 

Email to pro members with cutoff for nomination for the sportsmanship award for junior riders only.  The pro should state why they think the person is a good sport.

Terese seconded Gail.  All are in favor.

  

New Business :

Horse show – we need hospitality room volunteers.

Silent Auction – we need help

Sponsorships – Sarah Barge will do again.  Hopefully to send the letters our earlier.

Saren Group will do the wine and cheese party again.

Membership Report :

National dues were sent in for those who have paid their 2023 dues.  We are no longer going to chase people down to get their professional dues.

 

Rules Report :

Compete vs complete was discussed.  3 are needed to compete for points to be counted.

 

Election Report :

Sarah Donahue, Abby Scott, Gail Miller, Heather Heberle are up for election. 

 

Scholarship Report :

Nothing to  report

 

Grievance Report :

We will update the rule book to follow the USEF more closely. 

 

PHA Show :

Thanks to Sarah Barge and Sarah Donahue for getting sponsorship money for the horse show!  We hit a record number!

 

We will change the vendor fees for the 2024 PHA April show.

$100 for a stall inside

$200 for an outside spot

Rosie LaBarge was voted in as a new pro member.  All are in favor.

Unpaid professional members – (list has been adjusted since this meeting) -

Gabby Baker, Tracy Forman, Kali Knickerbocker, Andy Lomker, Martha Mitchell, Kalcy O'Keefe, Kathy Zimmer.  Heather has sent all of these professionals invoices for their membership.

 

Rules Report :

Changing combined divisions for 2024 – we will be keeping an eye on nomination numbers to decide if more divisions should be combined for year end awards.

PHA Show :

We are looking forward to an awesome horse show!

Sarah Barge has raised a great amount of sponsorship money.

Sarah Donahue and Margie Heberle will head to silent auction (benefiting the National PHA)

Amy Sweeney will be sponsoring the Pairs class on Saturday night.

The Saren group wine and cheese party.

 

We will add a Take 2 TB division - Add TIP to 2024 schedule

TaxFree status.......moving forward. Slowly.
